Privacy notice

Last updated 6 November 2026. Logbook is in a test (beta) phase, so this notice may change; we'll tell you if it does.

Who we are

Logbook is run by Petrolhead, who is responsible for your data (the “controller” under UK data protection law). Questions or requests: hello@mypetrolheadapp.co.uk.

What we keep

  • Your account: your email address and a scrambled form of your password (we can't read it).
  • Your cars' records: the details, mileage, visits, work, parts, costs, reminders and notes you enter.
  • Files you upload: invoices, certificates and photos. These can include names, addresses and number plates, so only upload what you're happy for us to store.
  • AI conversations: questions you ask the assistant and its answers, and what the AI read from your invoices.
  • A history of changes to your records, so mistakes can be traced and undone.

We don't use advertising or tracking. The only cookies are the ones that keep you signed in.

Why we keep it

To run the app for you: storing your records, working out reminders and costs, and making reports. Under UK law, the reason (“lawful basis”) is that we need it to provide the service you signed up for. During the beta we may also look at how the app behaves to fix problems. We never sell your data.

Who helps us run it

  • Supabase: the database, sign-in and file storage.
  • Vercel: hosts the website.
  • Anthropic: only when you use an AI feature (reading an invoice, or the assistant). The document or question is sent to Anthropic's AI to get the answer. Anthropic doesn't use it to train its models. The demo and the sample car never use AI.

Some of these companies process data outside the UK, under the safeguards UK law requires. They may only use your data to provide their service to us.

How long we keep it

For as long as you have an account. When you delete a car, its records and files are deleted. When you delete your account, everything is deleted straight away. Copies in our providers' backups are replaced within a short period after that.

Your rights

You can ask to see, correct, delete or take a copy of your data, and object to how we use it. Most of this you can do yourself:

  • See and correct: everything you've entered is in the app, and can be edited.
  • Take a copy: each car's Report page saves a PDF and downloads a spreadsheet (CSV).
  • Delete: go to Account → Delete your account. It removes everything at once.

For anything else, contact us at hello@mypetrolheadapp.co.uk. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Keeping it safe

Your records are private to your account: the database itself refuses other accounts, not just the app. Connections are encrypted. No system is perfectly secure, so please use a password you don't use anywhere else.
